GENERAL INFORMATION, TERMS & CONDITIONS
By making a deposit for your tour you accept all the following terms and conditions.
RESERVATIONS
Reservations will be held for 7 days pending receipt of required payment.
PAYMENTS
Deposits for tours are as follows:
1 DAY MOTORCOACH TOURS - FULL PAYMENT
2 - 3 DAY MOTORCOACH TOURS* - $50 - $60 PER PERSON
4 - 6 DAY MOTORCOACH TOURS - $100 PER PERSON
7 DAYS OR LONGER MOTORCOACH TOURS - $150 PER PERSON
DOMESTIC AIR TOURS - $200 PER PERSON
INTERNATIONAL AIR - $250 PER PERSON
Final payment for all 2 - 3 day motorcoach tours are due 30 days prior to departure. All motorcoach tours 4 days or more are due 45 days prior to departure. Balance for air tours are due 90 days prior to departure.
*Policy applies to Atlantic City 4 day programs as well.
CANCELLATION CHARGES
Air Tours: Outside of 100 Days: no penalty
99 - 75 days: deposit is non-refundable
74 - 16 days: 75% of tour price is forfeited
15 to day of departure: no refund
Motorcoach Tours 4 Days or longer:
Outside of 45 days: no penalty
44 - 21 days: deposit is non-refundable
20 - 8 days: 50% of total price is forfeited
7 days to day of departure: no refund
Motorcoach Tours 2 and 3 Days:
Outside of 21 days: no penalty
20 - 8 days: 50 % of total price is forfeited
7 days to day of departure: no refund
Day Trips: Outside of 7 days - no penalty
6 - 3 days: 50 % of total price is forfeited
2 days to day of departure: no refund
SPECIAL CANCELLATION POLICY APPLIES TO ALL PRO- GRAMS THAT REQUIRE TICKETS SUCH AS THEATRE, BASEBALL, RADIO CITY and BOSTON POPS as noted next to each program.
CANCELLATION PROTECTION: Cancellation Waiver Protection is available on most Conway multi-day motorcoach programs unless other wisewise noted. The purchase of the Cancellation Waiver will protect you from any cancellation fee should you need to cancel your reservation(s) for any reason up until the day of departure. If Conway cancels or discontinues your trip for reasons of safety including the threat of terrorism, acts of God, etc., Conway reserves the right to issue a credit for a future Conway vacation in lieu of a money back refund. The protection policy must be accompanied with the deposit. The waiver is non-transferable and non-refundable. Conway must receive notification of your cancellation prior to the scheduled departure of the tour. If prior notice is not received, a refund will not be issued. The participant who purchases the Cancellation Waiver will be liable for single supplement charges that arise when a traveling companion cancels prior to departure, or leaves the tour prematurely. The price for the optional protection is:
2 - 3 Day (and Atlantic City 4 Day) Motorcoach Tours - $6.00 per person/per day
4 Days or longer Motorcoach Tour - $12.00 per person/per day
All Conway Air programs and selected Motorcoach Tours are covered by Travel Insured International. The plan includes, but not limited to, Trip cancellation and interruption up to the cost of the Trip (max. $10,000 and trip delay up to $750). Emergency Accident/Sickness Medical expense up to $50,000. Lost and stolen baggage/personal efforts are covered up to$1,500. A full description of the plan will be furnished upon request. The rates for this optional insurance coverage is as follows:

RATES ON ALL AIR PROGRAMS: are subject to change (due to surcharges, etc.) prior to the time you make your full payment. Your price is not subject to increase after you make your full payment, except for charges resulting from increases in government-imposed taxes or fees.
DOCUMENTS: On all overnight tour departures, documents such as baggage tag, itinerary, boarding pass and airline ticket (when applicable) will be mailed 14 days prior to departure. On all coach overnight programs your boarding pass will list departure point selected and time of departure. Please check your documents carefully upon receipt.

CHILDREN POLICIES: Children prices are for children 2-14 years of age. Children under the age of 2 are free of charge. however, they are not entitled to a seat on the motorcoach. Individuals under the age of 18 must be accompanied by an adult.
RIGHTS AND RESPONSIBILITIES: Should it be necessary to change itineraries, Conway Tours reserves the right to substitute travel arrangements of equal value. We are not responsible for any delays due to traffic, weather or mechanical difficulties. Conway Tours acts solely as an agent in arranging restaurant, hotel accommodations, attractions and other services. Conway does not assume any liability for injury, delay, damage, loss or accident due to any act, negligence or default of any person or company rendering services on any tour. Conway tours also reserves the right to refuse to transport a person or persons under the influence of intoxicating liquor or drugs, or who is incapable of taking care of him or herself or whose conduct is such, or likely to be such, as to make him or her objectionable to other passengers.
PARKING: Departure points listed are for passengers boarding. Parking is not allowed at all points. Conway Tour does not own , operate or manage the pick up locations and cannot be liable for vehicles that are towed, stolen or damaged.
SMOKING: Conway has a no smoking policy on all tours.
SEATING: There is an 'open seating policy" on all driver- escorted Conway Tours. On day trips we request that you keep your original seat for the entire day. On all driver -escorted overnight programs, we request that you keep your original seat for the first day, and then there will be 'open seating 'again each subsequent morning of the tour. On all escorted programs seat rotation will normally occur daily in a pattern established by the tour director.
ACCESSBILITY: Conway Tours intends to comply with the American Disabilities Act. Please provide us with advance notification of special needs as all sites and attractions may not be accessible. All Conway Tours require some walking. Please call our reservation department in regards to the amount of walking on any program.
ROUTING ON MOTORCOACH TOURS: The order of pick-ups is determined to be the most convenient possible when considering the destination. Vehicles other than motorcoaches may be used to transport participants to a centralized location to board motorcoaches for the trip. Generally the return route will be the reverse of the departure route.
BAGGAGE: on all overnight programs, each tour participant is entitled to one piece of luggage plus a carry-on bag. Air carrier luggage and carry-on restrictions apply and are the responsibility of the tour participant. We recommend you consult your air carrier. Conway will not be liable for loss, damage or theft of personal luggage.
ARBITRATION: Tour participants agree than any dispute concerning, relating or referring to this contract, the brochure, or any other literature concerning my trip shall be resolved exclusively by binding arbitration according to the rules by the American Arbitration Association in Rhode Island. Substantive Rhode Island Law will govern such proceedings. All rates in this catalog are based on the date of printing of this catalog (Dec. 1, 2012) and are subject to change.
